Voice-First Productivity Comes to Gmail, Docs and Keep

Google is pushing Google Workspace AI deeper into everyday workflows with new conversational tools for Gmail, Google Docs and Google Keep. Rather than relying solely on typing, users will be able to speak naturally to control core apps. In Gmail, a feature called Gmail Live can search your inbox and answer questions like “What’s going on at my kid’s school this week?” by surfacing relevant messages. Docs Live acts as a voice-driven co-writer, helping brainstorm ideas, structure outlines and pull information from Gmail, Drive, Chat and the web with permission. In Keep, conversational input can transform a “brain dump” of spoken thoughts into organized lists and notes. These Gmail voice control and AI-assisted features are designed for hands-free productivity and will roll out to Google AI Pro and Ultra subscribers, with previews for business-grade Workspace customers this summer.

Google Pics Design Tool Brings AI Image Editing into Workspace

Alongside voice features, Google introduced Google Pics, an AI-powered design tool built on its latest Nano Banana image model. Positioned as a creative companion rather than a random image generator, the Google Pics design tool focuses on precise control. Users can start from a blank canvas or edit existing photos, using object segmentation to select and transform specific elements without disturbing the rest of the scene, such as changing a sweater’s color or even turning a dog into a cat. Pics also supports text editing and translation inside images while preserving layout and fonts, which is useful for localized marketing materials or signage. Tight integration with Google Workspace means Pics will first appear in Slides and Drive so teams can adjust visuals in context. Collaborative canvases will let multiple people edit the same image in real time, underscoring Google’s push to make visual creation a native part of Workspace.

Smarter AI Inbox and the Rise of Gemini Spark

Gmail’s AI Inbox is evolving from simple summaries into a more proactive email partner. Beyond existing suggestions and proofreading, AI Inbox will generate personalized draft replies when it detects that a message needs urgent attention, helping users respond quickly without starting from scratch. Instant file access will surface relevant Docs, Sheets or Slides links directly in the inbox, minimizing time spent hunting through folders or threads. Users can also mark all emails related to a specific topic as read in one step, reducing clutter. Complementing these features is Gemini Spark, a new personal AI agent that shifts Google Workspace AI from passive assistance to active execution. With explicit permission, Gemini Spark can send emails or add calendar events on a user’s behalf. Integrated through the Gemini app, it represents Google’s intent to make Workspace increasingly AI-native across everyday business tasks.

Unified Workspace SAML Policy Strengthens Security with Less Admin Overhead

On the administrative side, Google is extending its AI-era vision to security with a key update to Context-Aware Access for Google Workspace. Admins can now set a single default Context-Aware Access policy that automatically applies to all SAML applications that do not already have a specific rule. Because SAML apps often include third-party SaaS services and internal tools tied to Workspace single sign-on, this universal Workspace SAML policy establishes a secure-by-default baseline as new apps are added. Instead of configuring rules for each app individually, IT teams can protect their environment at scale with one control, reducing management overhead and the risk of misconfigurations. The feature must be enabled manually and can be scoped at the organizational unit or group level, remaining invisible to end users. It is rolling out across multiple Workspace and Cloud Identity editions, signaling Google’s focus on making AI-rich environments easier to govern.
