Workday Moves Everyday HR and Finance Tasks Into Microsoft 365 Copilot

HR and Finance Come to Where Employees Already Work

Workday is embedding its Sana Self-Service Agent directly into Microsoft 365 Copilot, allowing employees and managers to complete routine HR and finance tasks without leaving the Microsoft 365 environment. Instead of jumping between email, chat, portals, and separate HR or finance systems, users can now type natural-language questions into Copilot and trigger Workday processes behind the scenes. This Workday Microsoft 365 integration is designed to address some of the most common internal queries: time off, pay, expenses, and performance. Workday remains the system of record, enforcing existing approvals, policies, and business rules, but the interaction layer shifts into Copilot. For organisations that already use Microsoft 365 HR tasks are now much more accessible, and the integration is activated through configuration rather than a full deployment project or extra login, helping IT teams roll it out with minimal disruption.

What Employees Can Do: Leave, Payslips, and Personal Details

For employees, the most visible change is how everyday self-service HR tasks show up inside Microsoft 365. Through Copilot, users can check holiday balances, request leave, and review tax withholding information without opening a separate Workday window. They can also update personal information and access payslips directly in the same interface where they already collaborate and manage email. By embedding these workflows into Copilot, Workday reduces friction around basic HR enquiries that previously required navigating portals or logging support tickets. This also enhances payroll integration from the employee perspective: questions about pay can be answered conversationally, with Workday quietly handling the underlying data and approvals. The goal is to make HR finance Copilot interactions feel like part of normal daily work, turning common HR actions into quick micro-tasks that fit naturally between meetings, emails, and chats.

Manager and Finance Workflows: From Approvals to Expense Policies

Managers gain a broader set of capabilities via the Workday Microsoft 365 integration. Within Copilot, they can review team goals, approve timesheets in bulk, initiate performance reviews for individual employees, and submit payroll input, all while Workday manages the formal workflows in the background. For finance and employee expense management, the Self-Service Agent can answer questions on expense and travel policies, confirm eligibility for corporate cards, and direct staff to the right request or case processes. Rather than emailing finance or hunting through policy documents, employees can ask Copilot how to file a claim or whether a cost is allowable. Workday’s logic and business rules still apply, but the conversational front end streamlines how users discover and follow them, reducing routine queries that can bog down HR and finance teams.

Why Context-Free HR and Finance Tasks Matter

This integration reflects a wider shift in enterprise software towards consolidating workflows into unified platforms. Employees already spend much of their day in Microsoft 365 tools; bringing HR and finance capabilities into that same environment aims to reduce context-switching and cognitive load. Instead of breaking focus to log into a separate system for a small task, users can complete Microsoft 365 HR tasks inside the collaboration tools they are already using. For organisations, this promises higher adoption of self-service and fewer low-value tickets to service desks, because routine questions around pay, time off, expenses, and reviews are resolved instantly in chat. At the same time, Workday maintains control over approvals and compliance, ensuring that employee expense management and payroll integration processes remain governed, even as the user experience becomes simpler and more conversational.
